USER GROUPS (HIERARCHY)
The “User Groups” allows for global level access management. The site owner determines what each label has access to, with the exception of the Basic and Volunteer labels.
The Basic and Volunteer labels are managed by Protean as agreed upon by contract terms and conditions.
- Admin – typically this is assigned to one or two individuals within the organization Manager – user defined
- Supervisor – user defined
- Member – user defined
- Basic – Read only access (no login provided to user)
- Volunteer – a label used to categorize legitimate volunteers in order to provide them with permissions agreed upon by terms and conditions of each individual contract.
PERMISSIONS (SITE WIDE)
To access site wide permissions, select Control Panel from the bottom of the left-hand menu.
You will be taken to a landing page where you’ll choose between Pick Lists, Modules & permissions, and Edit My Profile.
Selecting Modules & Permissions takes you to the system permissions page where you have the autonomy to modify permissions (access) for individuals and or groups. In other words, use Module & Permissions to restrict a group or an individual from using a particular feature and or function throughout the site.
Note: Editing settings in the Permissions System submenu specifically defines what user groups and users can add, edit or delete people within the permissions system.
ACCESS GROUPS
“YOUR” CONNECT allows administrators to dictate View, Add, Edit, and Delete privileges based on a particular group of members.
Note: It is recommended to only allow Admin level users permission to View, Add, Edit and Delete for Others permissions via the Permissions System. Furthermore, it is recommended to allow Manager level users to only View the Permissions System section and not allow them to Add, Edit or Delete Permissions.
Note: The Permissions System is where you would go to allow a user to see (access) the Control Panel in the menu system; limit access to the Control Panel. Changes to the items within the Control Panel are system level changes and may impact many, if not all, members/users.
SELF, OTHERS AND SETTINGS
Definitions:
Self: Allows members to work with their own records
Others: Allows members to work with other records
Settings: Allows member to change module settings, or manipulate overall features (e.g. add a calendar)
The Access Groups (user levels of Admin, Manager, Supervisor, and Member) allow you to control what users can access, in a variety of ways, from a group perspective.
INDIVIDUAL ACCESS
The Individual access levels allow you to control what the individual user has access to and overrides the group level access, for any given section.
Example: If Jane Doe is assigned to the user level group Members, and the Members are not allowed to add, edit nor delete a Calendar, an Admin can create an individual permission level for Jane Doe so that she can now add, edit and/or delete Calendar items, even though others within her same group cannot add, edit and/or delete a Calendar items.
Note: The Basic and Volunteer user levels permissions/access is managed by Protean. If you identify the need for a Basic and or Volunteer level user to perform a specific function, this needs to be discussed with your site Admin then submitted as a change order in compliance with the EULA.
SETTINGS
Settings allows an individual to manage the Settings for a particular module; for modules that have a settings option.
Note: Not all modules have a settings option and so the Settings View option will not be applicable. Additionally, the module specific settings are generally located in the same space as the initial landing page of the module. The ability to access the settings tab will not be visible for users who do not have associated access.
